This page explains what personal data PDF Premier uses, where it comes from, why we use it, how long we keep it and how you can tell us to stop.
Who we are
PDF Premier (pdfpremier.com) is run by PDF Premier Ltd, a company registered in England and Wales (company no. 17533579), registered office 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. PDF Premier Ltd is the controller of the personal data described here.
Postal address: 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
Email: [email protected].
Opting out of emails
If you don’t want emails from us, reply “unsubscribe” to any email we send, or email [email protected]. We honour that promptly. You don’t need to give a reason.
We keep your email address and the date you opted out on a suppression list, so we don’t email you again. We use that list for nothing else.
You can also write to PDF Premier Ltd, 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
Business contact data from public sources
We contact a small number of marketing and design agencies, one email at a time, about our case-study and sales-PDF service. To do that we use:
- the agency’s name, website and general business email address, as the agency publishes them;
- the names and roles of people the agency names publicly, where we address an email to them;
- notes about the agency’s published work, so that our email is relevant to you;
- company details from the public Companies House register, such as the company name, number and registered office.
Prospect data is collected only from public websites and Companies House. Sources are the agency’s own website and the Companies House register. We don’t use enrichment or data-broker tools, we don’t buy contact lists, and we don’t use tracking pixels in our emails.
Lawful basis. Under UK GDPR we rely on legitimate interests (Article 6(1)(f)): our interest in offering a relevant service to businesses, using business contact details they have chosen to publish. We keep the data to a minimum, send only a short sequence of emails, stop on any reply or request, and you can object at any time.
If we have your data from these sources, we will point you to this page in our first email at the latest.
If you email us or work with us
When you write to us or agree a project, we use your name, contact details, our correspondence and the project material you choose to share, so we can reply, agree scope and our pilot terms, and deliver the work. Our lawful basis is taking steps at your request before a contract, and then performing that contract. We keep invoices and accounting records because the law requires it.
This website
The site doesn’t use analytics, advertising or tracking cookies, and it has no forms. Cloudflare, which hosts the site, processes technical data such as your IP address, browser type and the pages requested, so that it can deliver the site and protect it from abuse.
How long we keep it
- Prospect data (from public sources): deleted 90 days after our last email to you if you haven’t replied, and straight away if you ask us to delete it.
- Opt-outs: your email address and the opt-out date, kept on our suppression list for as long as we send business emails, so we can respect your choice.
- Enquiries that don’t become a project: deleted 12 months after our last contact.
- Project material and correspondence: kept for the project and deleted 12 months after it ends, unless you ask us to delete it sooner.
- Invoices and accounting records: 6 years after the end of the financial year they relate to, as UK law requires.
Who we share it with
We don’t sell personal data. We use these service providers, who process data on our behalf:
- Namecheap Private Email (Namecheap, Inc.): hosts our email, including [email protected].
- Cloudflare (Cloudflare, Inc.): hosts and protects this website.
- AI tools we use to research public business information and draft emails (processing only business contact details).
Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards, such as UK adequacy regulations or the International Data Transfer Addendum. We may also disclose data where the law requires it.
Your rights
Under UK GDPR you can ask to access, correct or delete your data, to restrict how we use it, and to object to our use of it. You have an absolute right to object to direct marketing; when you do, we stop. Email [email protected] and we’ll reply within one month.
You can also complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put things right first.
We don’t make decisions about you by automated means alone.
Changes
If our practices change, we’ll update this page and the date at the top.
